About the position

Key responsibilities
Support the LSFI’s management and team in all administrative, operational, HR and financial coordination tasks, ensuring smooth day-to-day operations of the organisation.
General Administrative & Operational Support
- Provide day-to-day administrative support to the team, CEO and Deputy CEO ;
- Organise and coordinate internal and external meetings (Board meetings, IIAB, working groups, etc.), including logistics and catering ;
- Manage complex scheduling and maintain calendars ;
- Organise business travel (flights, accommodation, logistics) for staff and external stakeholders ;
- Register management for events, conferences and external engagements ;
- Ensure proper follow-up and communication of all logistical arrangements ;
- Handle incoming and outgoing mail and ensure proper distribution ;
- Ensure proper archiving of official documents ;
- Manage office supplies, orders and general office needs ;
- Maintain IT equipment inventory and liaise with IT support providers.
Accounting & Financial Support
- Support financial and accounting processes in collaboration with the Accounting & HR Manager ;
- Consolidate financial data and maintain accurate supporting documentation ;
- Prepare and organise invoices and proof of payments ;
- Support financial reporting and year-end processes.
Human Resources Support
- Support onboarding and offboarding processes (IT setup, access rights, documentation, badges, etc.) ;
- Provide back-up support for tracking absences, remote work and leave ;
- Coordinate practical arrangements (IT equipment, phone subscriptions, tools access);
- Manage meal vouchers orders and the administration of the platform ;
- Assist with internal communication and HR processes.
Preferred qualifications
- 2 to 4 years of relevant professional experience in administrative roles ;
- Strong organisational and multitasking skills with attention to detail ;
- Proactive, solution-oriented mindset ;
- Excellent interpersonal and communication skills ;
- Very good command of English (written and spoken); French is required, German and/or Luxembourgish are considered an asset ;
- Strong command of MS Office (Excel in particular) ;
- Ability to handle confidential information with discretion ;
- Knowledge of sustainable finance or the financial sector is considered an advantage.
Who we are
The Luxembourg Sustainable Finance Initiative (LSFI) (www.lsfi.lu) is Luxembourg’s coordinating entity on Sustainable Finance.
The LSFI was founded in January 2020 by the Luxembourg Government (Ministry of Finance and Ministry of the Environment, Climate and Biodiversity), Luxembourg for Finance (the agency for the development of the financial centre) and the High Council for Sustainable Development (Conseil Supérieur pour un Développement Durable), an independent advisory body to the Luxembourg Government about sustainable development matters that represents the civil society.
